Give your captains the keys to their team. Not the whole building.
Everyone's one member record — players, parents, captains, scorers, officials, fans. Hand each the right access, and watch a captain run their team like a GM. Players say yes or no to every game. Your refs, timekeepers and medics confirm their own. You stay in control without being the only one who can do anything.
Captains manage, players RSVP, officials confirm — and you stop being the bottleneck.
One member record, the whole club runs on it.
Every person who touches your club is a member — one record that follows them across teams, seasons and roles. Set the person up once; the platform does the rest. No duplicate lists, no “which spreadsheet has the current numbers.” And members keep their own details current, so you're not chasing a phone number at 11pm.
Your roster is the mailing list — see Communications The right access for every role.
Give a captain team-admin access and they manage their team and see nothing else. A scorer runs game night without reaching your settings. Officials get their assignments. You get the full picture. Everyone gets exactly what they need and not one thing more — so you share the load without lying awake about it.
Tap a role — watch the dashboard shrink to exactly what that person can reach.
Hand a captain the GM's office.
No pro expansion team rolls onto the ice with no name, no logo and no roster. They build an identity, then a roster that brings it to life. Being a team admin works exactly the same way — step into the GM's office and build a franchise.
Access starts with the email the league sends — a “sign up here” link for a new admin, or a straight “manage your roster” link if they already have an account. Once in, the dashboard shows every team they manage. Upload the team logo, set home and away jersey colours, and the team shows up right everywhere — and XSYTE flags a jersey clash before game day.
Add players manually, pull in existing players so returning names stay one clean profile, or bulk-upload the whole roster — jersey numbers and positions at once.
Send game invitations and track attendance — players get a clean yes / no and you see exactly who's in. Message just the players coming (“be at the rink early,” “wear light jerseys”). Set the lineup, assign positions, and email it to the team so everyone knows where they're slotted before they arrive.
Optional, but pure franchise energy: craft a 10–20 second goal horn and submit it to the league. If the rink's scoreboard has audio, it fires when your team scores. A tiny feature that makes a team feel big-league.
Custom team goal horns live on GameDay & Broadcast A growing team can graduate from team GM to franchise owner — its own XSYTE team site. Take dues and membership payments, open a team store (including print-on-demand), auto-load the division schedule, brand it, schedule practices and events, host team docs, and connect social. Their franchise HQ.
Schedule your officials and game-day crew.
Games need refs, linesmen, scorekeepers, timekeepers, medics and volunteers. Tick the games you want, click a role on an official, and assign them across all of them at once — or drag one onto a single game. Send confirmations, and each official replies yes or no, so your crew's locked before puck drop.
Know who's coming — players and crew.
Players say yes/no to game invites; officials confirm or decline their assignments. So game day stops being a guessing game — a full bench and a full crew, at a glance. Nobody's a mystery.
Memberships that follow your people.
When someone holds a membership, the badge follows them everywhere their name appears — rosters, reports, game sheets. Anyone with the right access sees at a glance who's a valid, paid-up participant. It's how a scorer can glance at a roster and instantly spot who's cleared to play, without chasing paperwork.
Memberships are sold & gate access in Store & Memberships Groups & security you can actually reason about.
Organise people into groups and set who can do what — cleanly. Add a volunteer, drop them in the right group, done. Remove them when the season ends. The access map stays something one human can hold in their head.
Profiles worth being in the system for.
Being a member isn't admin overhead for the player — it's their profile. A headshot for the pro look (which powers your stat-leader sections), stats, awards, an achievement log that grows game after game. The stuff they screenshot for the group chat. And if they've got an email on file, players get invited to fill in their own details, so the profile builds itself.
Milestones & awards land here from Scoring, Stats & Milestones Your people, whatever the game.

Most tools treat your people as a mailing list in one app and a payment record in another. XSYTE treats them as one thing — a member — and builds the whole club on top.
Your comms, your store, your stats, your profiles, your game-day crew — all running off the same record. You hand out the right keys, captains run their teams like GMs, players and officials carry their own weight, and you finally stop being the bottleneck.
“I don't want to hand admin to a volunteer and have them break something.”
That's exactly why access is scoped. A captain only ever sees their team; a scorer only ever sees game night; an official only sees their assignments. They literally can't reach your settings. You get help without handing over the keys to everything.
Share the load. Keep the control.
One member record, the right keys for each person, everyone playing their part — run from one place.
